+Government Organizations are established mainly with the purpose of serving the citizens. MahaOnline caters to the needs of various departments of Maharashtra state and provides several e-Governance services to its citizens.

+MahaOnline has its presence in almost every corner of Maharashtra by virtue of approximately 6000 customer service centers spread across every taluka of 35 districts.

+Few things that always come to one's mind when thinking about government organizations
+

+- Organization Hierarchy
+- Process Complexity
+
+Sure enough, we were going to encounter all these things in an ERP implementation for the 250 plus employees at MahaOnline Ltd.
+
+During the initial study, it was found that there were disparate homegrown applications for leave management, attendance, timesheets, and Tally was being used for Accounting.
+
+Disparate applications meant high maintenance costs, no streamlined reporting and no central record for approvals taking place. The issue tracking for citizen services was mainly done via email leading to lack of transparent reporting of SLAs. Expense claims were mostly done on paper with receipts being mailed via the postal services to the central office.
+
+Also, being a government-owned organization, tight budgets and higher accountability of money being spent on software licenses & redistribution made them think of moving towards an Open Source ERP solution.
+
+Keeping open source in mind, ERPNext was selected as the Open Source ERP solution to implement the below process areas in Phase 1 of the implementation
+
+- HR, Leave Management & Attendance tracking
+- Issue Management
+- Timesheet Approvals
+- Expense Claim Management
+- Chart of Accounts set up & Accounting Entries
+
+After implementing out of the box ERPNext functionalities in the above areas, the following benefits were immediately realized
+
+1. All Leave Approvals by department heads were now being tracked in the system. Approved Leaves are automatically marked in the Attendance Sheet giving ready reporting to HR & Accounts team for Payroll.
+1. Over 15 Email Accounts that provide support to Citizens for services like UIDAI, MPSC exams etc. were configured to work in synch with ERPNext Issue management. The automated Issue creation provides for streamlined reporting of SLAs and tracking of Issue closure. This, in turn, leads to better services to citizens.
+1. Timesheet Approvals by project managers now happen in the system & all project time billable to various state departments can now be tracked in ERPNext.
+1. Expense Claim entry by District Coordinators and approval by multiple Checker levels, Vertical Heads & Finance Approval is implemented and tracked in ERPNext. Scanned copies of expense claims can now be attached to the system which is helping MahaOnline Ltd move towards paperless expense claims.
+
+With the above process areas firmly in place within ERPNext in a short span of 4 weeks, all reporting is now centralized to a single database.
+
+In conclusion, it can be seen with the above case study that government organizations can greatly benefit from the implementation of Open Source ERPNext both in terms of gaining operational efficiencies with vanilla ERPNext implementation & license cost freedom offered by Open Source technologies.

+### Discovering ERPNext
+
+Konrad has been an ERPNext cloud customer for the past seven years. That easily makes him one of our oldest and loyal customers. Prior to ERPNext, they used a client/server based trading software. However, the problems with this solution were apparent.

+Server management was becoming a problem due to lack of expertise to run a server infrastructure by themselves. Konrad was himself busy travelling often due to which he could not devote much time to the upkeep of the server.

+### What was your ERPNext journey like?
+
+When I joined my company, I saw that all the work was being done on paper. If somebody ordered something, it was written on a piece of paper and that paper would be passed from one hand to the other, till the product was delivered. It would take at least 2-3 days to find out a list of all pending orders.
+
+Being an organised person, I decided to put the business in order by getting a very good ERP. I shortlisted SAP for my business. However, I realised that it's price was exorbitant. I was not willing to risk my business operations by buying such a costly product.
+
+While I was searching for a perfect ERP which could be customised to our business, I made other changes. The first thing I started was to establish a culture of making systems for managing order data. It was a change for me and for the people who worked in our company and there were lot of fights.
+
+### Discovering ERPNext
+
+While making changes in my organisation, I was also looking for applications to run my business. Some apps were good for inventory management but not good for accounting, some where offline. At that point I was managing invoices in Quickbooks and accounting in Tally. I did not like Tally, because it was difficult to import in Tally.
+
+I also tried my luck with open-source projects like Openbravo, but their implementation was too complex and implementation cost was high. I even tried building my own tailor-made software for our business. Tmy did not work either.
+
+Just when I was about to give-up, I came across ERPNext. I immediately liked ERPNext and the entry-level pricing that allowed me to try it. Once I saw the benefits of ERPNext and its ability to customise, hI replaced Tally and Quickbooks with ERPNext.

+

+- Is Online, thus there is real-time sharing of data across the world

+We worked with HR team to understand the existing processes and looked for the options present in ERPNext. Most of the options were available out of the box, so minimal configuration was required. The change process with users was smooth as users were able pick up the user interface with minimal training.

+We use Accounts and HR module. In HR, we use attendance, appraisals, employee records,  recruitment and expense claims. We use the accounting module for our customer ledgers and our IT asset management.

+In the attendance module, data is imported from a biometric system every day. Employees get to see their attendance, leave balances and can also apply for leaves. All employee records are maintained in ERPNext. We use the recruitment module to maintain our job vacancy lists and process applicants.

+### What are the best things about ERPNext?
+
+The beautiful user interface that comes out of the box is great as people are able to pick up intuitively. The ease of configuring all modules to suit our specific requirements is commendable. Frappe framework that powers ERPNext has also been utilised a lot by us to plug in various middlewares into ERPNext as well as build stand alone applications. For us, Frappe is the best thing about ERPNext.

+### What were the key outcomes / benefits for your organization from implementing ERPNext
+
+The prominent benefit has been streamlining all our HR processes into a standard workflow. We are now able to rapidly build forms and applications required by the company's evolving business requirements. When a new form or feature is released, users are able to pick them without any training.
+
+This has saved us a lot of time which would have been spent if we would have built something like this from scratch. This represents a significant boost in productivity.
+
+We have also used frappe extensively to build several micro services internally. Frappe has streamlined the business development process for us and made the UI and UX consistent across our internal applications.
